ABOUT THIS OPPORTUNITY

An exciting opportunity has arisen for a passionate and dedicated Administrative Assistant to support the Director of Business & Operations and the wider Corporate Services team. 

Reporting to the Director of Business & Operations, the successful candidate will play a crucial role in ensuring the efficient and professional operation of the Business & Operations portfolio. 

The role focuses on: 

  • Providing high-level, comprehensive, and proactive administrative support to the Director of Business & Operations, managing calendar, appointments, travel arrangements, and competing priorities.  

  • Act as the primary point of contact for the Director, managing correspondence, enquiries, and communications with professionalism, discretion, and confidentiality.  

  • Prepare agendas, reports, briefing papers, and supporting documentation for meetings (including School Council, Board, and Committee meetings). Coordinate logistics, venue bookings, catering, and take accurate minutes.  

  • Draft, proofread, and edit professional documentation, policies, and procedures. Maintain effective records management systems ensuring security, confidentiality, and integrity.  

  • Provide administrative assistance across Corporate Services functions (including People & Culture, Risk & Compliance, Finance, Marketing, Admissions, IT, Facilities, and Operations).  

  • Provide short-term relief and backup support across functions such as Payroll, Accounts, School Fees, Reception, and the School Retail Shop, as well as executive relief for the Principal and Deputy as requested.  

  • Actively promote child wellbeing and safety in line with Queensland Child Safe Standards, legislative requirements, and School policies.

Desired Skills and Experience

ABOUT YOU

To be successful in this opportunity, you will require: 

  • Appropriate tertiary qualifications at a degree level and previous administration experience. 

  • High-level organisational, interpersonal, written, and verbal communication skills (including a professional and courteous telephone manner).  

  • Proficiency with IT applications, including Microsoft Office suite.  

  • Demonstrated ability to exercise initiative, discretion, judgment, and maintain high confidentiality and integrity.  

  • Proven ability to manage competing priorities, find solutions through creative thinking, meet deadlines, and work effectively with minimal supervision.  

  • A willingness to work collegially as part of a team with a strong service ethic.  

  • Willingness to support our shared Purpose Statement and the School's values.  

  • Must be able to demonstrate an understanding of appropriate professional boundaries and standards when working with children and young people.  

Desirable Experience & Skills: 

  • Current First Aid qualifications; 

  • Experience using The Alpha School System (TASS); and 

  • Experience working in a School.
